Taxi orders via Telegram and Max: why a service needs a bot and how it reduces operator workload

The phone is still the main channel for ordering a taxi in small and mid-sized cities, but the share of customers who prefer to text rather than call grows every year. For a service, this is both an opportunity and a risk: if you don’t have a convenient text channel, some customers will go where there is one — most often to an aggregator.

A messenger bot is the cheapest way to meet this need. Unlike a mobile app, it doesn’t need installing, takes no storage and requires no sign-up. In this article we look at how taxi ordering through a bot in Telegram and Max works, which tasks it takes off operators, what the manager gets, and why the bot in Max matters not only for customers but also for drivers.

Why customers choose a messenger

Calling a dispatch service requires several things from the customer: find the number, wait for an answer, dictate the address, check the price, remember the car’s plate number. At peak hours, add a queue on the line. A text order removes most of these steps:

  • the address is picked from suggestions or sent as a location, with no dictating and repeating;
  • the price is visible right away, without «about three hundred rubles»;
  • the car make, plate number and driver’s phone arrive as a message and stay in the chat;
  • you can order silently — in a meeting, on public transport, at night without waking the family.

There is also an audience for whom text is preferable for objective reasons: people with hearing or speech impairments, foreigners who find it easier to write than speak, young people for whom a phone call is an unfamiliar format.

Telegram and Max: two messengers, one bot

Telegram is the most widespread messenger, with a mature bot platform. Customers are used to shops, delivery services and taxis having a bot, and use them willingly. For a service, this is the lowest barrier to entry: no need to explain what a bot is or how to message it.

Max is Russia’s national messenger, developed by VK. Since 2025 it has been on the list of apps preinstalled on smartphones sold in the country, and is positioned as a platform for interacting with government and commercial services. This means Max is on new phones by default, so the share of customers who have it grows with no effort from the service.

In UpTaxi, the taxi order bot works in both messengers with the same features. Customers write wherever is convenient for them; the order goes into the same system as phone orders and is dispatched under the same rules — to the nearest driver by road graph. How the customer orders: three clicks

Ordering through the UpTaxi bot is designed so that a regular customer books a trip faster than they’d get through to an operator:

  1. From. The customer sends their location or enters an address — with suggestions for popular places in the city: train stations, shopping malls, hospitals.
  2. To and how. They enter the destination, choose a class (economy, comfort) and options — for example, a child seat.
  3. Confirmation. They see the price and confirm the order.

Then statuses arrive in the chat: «driver found» — with the car make, plate number and driver’s phone; «car has arrived»; «on the way». The customer doesn’t need to call the dispatch service to find out where the car is, and doesn’t need to wait for a call from an operator.

The price in the bot is calculated in sync with the main system: the same rates, the same peak-hour multipliers, the same fixed upfront price. A customer in the bot and a customer on the phone see the same price for the same trip.

What the manager gets

The bot is not only an interface for the customer but also a tool for the service.

Branding. The bot is styled for your service: your logo as the avatar, your brand colors. The customer sees not «some taxi bot» but your service, with the same name and number they know.

Free broadcasts. Promotions, promo codes, reminders about your service — all of this can be sent to customers through the bot with no per-message charge, unlike SMS. For a service that used to spend a noticeable sum on SMS campaigns, this is a direct saving; for a service that didn’t send campaigns because of the cost, it’s a new customer retention channel.

Single database. Bot orders go into the same system as phone orders — with history, statistics and reports in the manager’s account.

How the bot reduces operator workload

Let’s break a phone order into its parts. An average intake call takes one to two minutes, by the services’ own estimates: greeting, pickup address, confirming the entrance, destination, price calculation, confirmation. Then a call or SMS about the car’s arrival. If the customer doesn’t come out, the driver calls the dispatcher, and the dispatcher calls the customer.

The bot removes everything from this chain except exceptions:

Operation Phone with operator Bot
Taking addresses Operator, 1–2 minutes Customer, via location or suggestions
Price calculation Operator quotes it Shown automatically
Arrival notification Auto-notification or operator Status in chat with car details
Clarifications («which entrance», «child seat») Callback Options in the order form
Customer–driver contact Through the dispatcher Driver’s phone in the status
Disputes Operator Operator

Even if 20–30% of orders move to the bot, the queue on the line at peak hours will get noticeably shorter, and operators will take the remaining calls faster. For a service that keeps two operators per shift, this may mean being able to manage with one.

The bot is part of the bigger picture. Callers reach the LLM voice robot operator: it understands natural speech, clarifies addresses and creates the order with no human, around the clock. Together, the robot and bots cover the main flow of orders, and a small service can send the remaining «live» calls to the distributed call center — 1 ₽ per accepted order and 4 ₽ per completed order — and keep no operators at all.

Nobody can tell you in advance the exact share of orders the bot will take on — it depends on the city, the customers’ age and how you promote the channel. But in the experience of services that run several channels, text orders grow gradually and almost never go back to the phone.

Driver bot in Max: working without the app

The other side of the messenger, which people rarely think about, is drivers. Normally a driver works through the app, and that’s right for most. But every service has drivers who won’t install the app: an old phone, little storage, reluctance to «download something else». And there are situations when the app works poorly: weak internet outside the city, GPS turned off, a dead battery.

For this, UpTaxi has a driver bot in Max. The driver opens the bot in a messenger that’s already on the phone and works without installing the app:

  • gets orders via automatic dispatch or picks from a feed of open orders;
  • shares their location; if GPS isn’t available, marks it manually;
  • changes order statuses: accepted, arrived, on the way, completed;
  • edits addresses in the order if the customer changed the route on the spot;
  • chats with the dispatcher.

The bot works on weak internet and uses minimal data. Example — https://max.ru/id890603474200_2_bot.

For the service, this has three practical consequences. First, the barrier to onboarding a driver drops: no need to explain where to download, how to update, why it won’t start. Second, drivers in areas with poor coverage stay online. Third, you get a hiring argument other services don’t have: as far as we know, no other taxi software has a similar solution at the time of publication. Bot, app, website: which to choose

A common question: if a service already has an app, does it need a bot? And vice versa. The answer: these are different channels for different situations.

Bot in Telegram / Max Mobile app Dispatch service website
Installation Not needed Needed Not needed
For whom Regular and one-time customers Regular customers One-time customers, corporate
Features 3-click ordering, class and options, statuses with driver details, broadcasts Ordering, map, card payment, advance booking, history, price slider Ordering
Branding Service’s logo and colors Shared app or branded app Styled for the service
Cost for the service Included in the base package Shared app included; branded app — 20,000 ₽ per OS Included in the base package

The app gives more: a map with the car, card payment, the «price slider». But not everyone will agree to install it. The bot is a «light» entry point that over time moves some customers into the app. Description on the Mobile app for customers page.

How to launch the channel and actually get orders through it

A bot doesn’t bring in orders by itself. Customers need to learn about it and get used to it. Practical steps that work in small cities:

Put the link everywhere your phone number appears. On drivers’ business cards, inside the car, on the website, in the signature of the arrival SMS. A QR code on the back of the front seat is the cheapest and most effective way. Make two codes: Telegram and Max.

Say it out loud. If a customer is waiting in the queue, have the auto-attendant suggest ordering in a messenger with no wait. This moves to the bot exactly those who are suffering from the queue at that moment.

Offer a small incentive. A promo code for the first order through the bot. Sending promo codes through the bot is free, so the first promotion costs you only the discount.

Answer questions in the chat. At first, customers will write free text in the bot — «can I bring a dog?», «how much to the airport?». Assign someone to answer such messages until the audience gets used to the order form.

Tell drivers about the bot in Max. Especially those who complain about the app or about coverage. One driver who stayed online thanks to the bot pays back all the effort.

Common concerns and answers

«Our customers don’t use messengers.» Check this with numbers, not gut feeling. Put QR codes in the cars and see after a month how many orders came through the bot. If it’s under 5%, you’re right, and the channel isn’t worth actively promoting. In our experience, the figure usually turns out higher than expected.

«The bot will glitch and customers will leave.» The bot is an interface to the same system operators work in. If the system works, the bot works. UpTaxi technical support works 24/7 and is included in the price, and a monitoring system alerts support to incidents.

«Drivers don’t like bot orders.» For a driver, a bot order is no different from a phone order: it arrives the same way — in the list or by auto-assignment. There’s no difference in pay or priority unless you set one up.

«Nobody here has installed Max.» If the phone was bought in Russia after 2025, it’s most likely already there. The bot in Max asks nothing of the customer or driver except opening a messenger that’s already on the phone.

What else text channels cover

Besides taking orders, a messenger is useful as a notification channel. Order statuses, driver details, advance booking reminders, promotions — all of this arrives in the chat instead of an SMS or call. For customers without a messenger, UpTaxi still has voice and SMS auto-notifications via the Asterisk PBX; description on the Voice and SMS auto-notifications page. The service chooses which channel to use for which customers.

In brief

  • A messenger bot is the cheapest text channel for orders: no installation, no sign-up, no call.
  • In UpTaxi, the order bot works in Telegram and Max: 3-click ordering, class and options, statuses with the driver’s car make, plate number and phone.
  • The manager gets branding for the service, pricing in sync with the system, and free promotional broadcasts instead of SMS.
  • The driver bot in Max lets drivers work without the app, on weak internet and without GPS — a hiring argument other services don’t have.
  • The bot doesn’t replace the app and the phone, it complements them; promoting the channel is the service’s job.

Customers order the way they like: a call, the app, the website, a bot in Telegram or Max. Drivers work from the app or directly from Max with nothing to install. If you want to connect these channels to your service, request 30-day access on the pricing page or message us on Telegram or on Max.
